The Great Hall and Bayview Room

The spacious Great Hall boasts a rustic ambiance, two decorative fireplaces, vaulted ceilings, and can accommodate large parties and celebrations with the capacity to host between 150 to 175 guests for seated banquets, and up to 215 guests for standing-only receptions. Enjoy sweeping views through the sixth fairway to the ocean at Larson Bay! Directly overlooking the fairway and adjacent to The Great Hall, the stunning Bayview Room offers a versatile space surrounded by natural light that can be used as a dance floor, indoor ceremony, or cocktail hour venue.

*Wedding rate includes booking of the Great Hall, Bayview Room, and Clubhouse Meeting Room from 10 a.m. to 11:00 p.m. with an additional hour for clean-up until 11:59 p.m. The event must be taken down, with the room returned to the same general condition in which it was received, by 11:59 p.m. on the date of your rental.

**Your venue rental fee includes the room booking fee, table and chair set-up. It does not include any event planning or room decorating services.

***All equipment must be reserved at the time of booking. Please bring your own adaptor to connect your laptop for presentations if you are using an Apple computer.

Event hosts are welcome to arrange their own catering or take advantage of on-site catering offered by The Orchard Restaurant.

What is the cost to rent the Gleneagles Clubhouse for a wedding?

The rental fee for 2025 is $2,500 plus tax (January 1 to December 31, 2025). The rental fees for 2026 is $2,575 + tax (April 1 to December 31, 2026) and $1,930 + tax (January 1 to March 31, 2026). These rates do not include liquor fees, SOCAN licensing fees (if music is played), or liability insurance.

Is a deposit required to reserve the venue?

Yes, a deposit is required to hold your date ($250 for food only; $500 for food and alcohol). This deposit goes toward your rental fee and is refundable after your event, provided no damage occurs. Final payment (minus the deposit) is due 60 days prior to the event.

What time must the event end?

All events must end by midnight on your rental date, in accordance with West Vancouver Bylaws. All guests and equipment must be removed by 11:59 p.m.

Can we have a live band or DJ?

Yes, bands or DJs are welcome and are encouraged to bring their own equipment.

Can we use the on-site restaurant for catering?

Yes. Please contact [email protected] for catering options and pricing.

Can we use an outside caterer?

Yes, but there is no kitchen access. Outside caterers must bring their own preparation materials and equipment. The attached Clubhouse meeting room can be used for preparation and includes a fridge, sink, and workspace.

Is the Clubhouse a licensed venue?

No. Renters must obtain and display a Special Event Permit. A copy of the permit must be provided at least two weeks prior to your rental date.

Can I serve alcohol at my event?

Yes. You must provide proof of a Special Event Permit and a Serving It Right certificate. A damage deposit will be charged.

What’s included in my rental?

We provide: 
- Room rental
- Tables – rectangular 2.5 x 6 ft (seats 6 to 8 people), or round 60-inch diameter (seats 8 people)
- Chairs (black)

Is audio visual (A/V) equipment available for rent?

Yes. The following equipment is available (2025 rates):
- Projector: $40
- Screen: $10
- Microphone with sound system: $15

What are the cleanup requirements?

The room must be returned to the general condition it was received in. All equipment and personal items must be removed by 11:59 p.m. Our team will handle the teardown of provided tables and chairs. 

Is liability insurance required?

Yes, renters must provide proof of liability insurance. Details can be provided once you begin the booking process.

Can we leave items in the venue overnight?

No, overnight storage is not permitted. All items must be removed from the space by 11:59 p.m. on the day of your rental.

When are insurance, the Special Event Permit, and setup details due?

Insurance, your Special Event Permit (liquor license), and setup details must be confirmed and submitted no later than two weeks prior to your event date.

Can I take my wedding photos at the Gleneagles Golf Course?

No, unfortunately there is no designated space available at the Gleneagles Golf Course for guests to take their wedding photos. However, there are opportunities to book wedding photos/ceremonies at Whytecliff Park nearby. For more information, visit westvancouver.ca/weddings.

How far in advance can I book my event?

Events can be booked up to one year in advance.

What is the cancellation policy?

The licensee may cancel the rental agreement and receive a full refund by providing the Facility Rental team with written notice at least 14 days before the rental date.

What are the insurance requirements for renting a facility?

All renters must provide liability insurance for a minimum of $2 million per occurrence and name the District of West Vancouver (750 17th St, West Vancouver, BC V7V 3T3) as additional insured. A copy of the insurance must be submitted at least 14 days before the rental date.

What if my event is a fundraiser?

A letter from the charitable organization is required, including their charitable registration number, contact information, and acknowledgement of the event.

What if my event is political?

Management approval is required. Please specify whether your event is open to the public or private, and provide full event details.

Can I serve food at my event?

If you are serving food through a caterer or preparing and serving food to the public, please contact Vancouver Coastal Health for approval. A damage deposit will be charged.

What if there is media, including photoshoots and filming at my event?

Written pre-approval from the West Vancouver Communications department is required.

Can I serve alcohol at my event?

Yes. You must provide proof of a Special Event Permit and a Serving It Right certificate. A damage deposit will be charged.

Can I advertise my event in the facility that I am renting?

Renters may be permitted to display notices of their event in the rented room for up to one hour prior to the event, subject to approval. The District of West Vancouver may limit signage placement and quantity. All signage must be removed after the event.

What are the SOCAN/Re:Sound fees on my contract?

SOCAN and Re:Sound are Canadian copyright collectives that license music use on behalf of artists. Fees are based on the number of attendees and whether there is music only, or music and dancing.
