Cultural Pavilion Application

The size and cost of each Cultural Pavilion depend on the scope of the showcase and any involvement of the sponsor or partner. Pavilion sizes range from 10x10 to 20x20 or larger. Festival Managers will collaborate with Pavilion organizers to develop a strategy that aligns with their vision.
Fees may be waived for not-for-profit organizations involved with a pavilion. We offer three initial options to get started:

A.    $250 plus tax | Fee includes:
-    10’ x 10’ tent including walls
-    Up to three 6’ tables*
-    Up to 10 folding chairs*
-    West Vancouver Community Cultural Fest Branded signage
-    Basic clip-on light
-    Additional power may be requested for an extra fee

B.    $500 plus tax | Fee includes:
-    10’ x 20’ tent including wall
-    Up to six 6’ tables*
-    Up to 20 folding chairs*
-    West Vancouver Community Cultural Fest Branded signage
-    Basic clip-on light
-    Additional power may be requested for an extra fee

C.    $1000 plus tax | Fee includes:
-    20’ x 20’ tent including wall
-    Up to ten 6’ tables*
-    Up to 30 folding chairs*
-    West Vancouver Community Cultural Fest Branded signage
-    Basic clip-on light
-    Additional power may be requested for an extra fee

The pavilion must authentically reflect the culture and heritage of a specific ethno-cultural group or country.

• The pavilion must be creatively decorated and presented, showcasing the culture with effort and attention to detail.
• A minimum of 5 quality activities must be offered over the course of the two-day festival. These activities can include demonstrations, workshops, educational displays, games, crafts, and performances.
• The pavilion must be staffed by volunteers or personnel who will actively engage visitors during the festival hours.
• The pavilion organizers are responsible for following load-in, and load-out guidelines as set forth by the festival organizers. This information will be sent closer to the festival date.

• Only prepackaged, culturally relevant food and goods are allowed for sale or sampling.
• All food served, including sampling, must receive approval from Vancouver Coastal Health.
• Sale of food and goods must receive prior approval from festival staff.

• Styrofoam, single-use plastic straws and balloons are not permitted.
• Pavilion organizers are responsible for sorting waste into the appropriate recycling sorting stations.
• Pavilion organizers are responsible for ensuring proper waste disposal and adhering to festival environmental guidelines. Failure to do so will result in a fine.

• Pavilion organizers and festival staff will have regular meetings during the planning process.    
• Multiple community or commercial partners can coordinate a pavilion, as long as the presentation is cohesive and reflective of the culture being showcased.
